The Hi-mail library is one of the most useful and powerful features of Hi-mail. The library is used to store useful and recurring documents, attachments, letterheads and stationery and signatures that you may wish to use when sending documents through Hi-mail.
There are 2 types of library within Hi-mail:
- Personal Library – You are the only one who has access to this library.
- Account Library – This is available to all users of the account and can be managed by authorised users or your Hi-mail administrator from the admin area.
The account administrator is the only one who can set the access and usage rights for the libraries. See the Hi-mail Administrators Guide for information on how to do this.
Below are step by step instructions on adding various items to the library. Try following them and adding one of each type to your personal library.
Adding a Signature to the Library
- Go to http://hi-mail.fdmplc.com
- Click on Hi-mail Login in the top menu
- Log in using your account name, user name and password.
- In the I wish to… menu on the left, click Library.
- On the left hand side, under the search section is the Add an Object menu.
- Click Signature.
- Enter a name for your signature.
- Enter a description for your signature
- Choose whether you would like it to be added to Your Library or the Account Library. – This option may be disabled if you are not set for Library management rights.
- Click Browse and find your signature image.
- Click ok.
- Validate
Adding e-stationery to the Library
- Go to http://hi-mail.fdmplc.com
- Click on Hi-mail Login in the top menu
- Log in using your account name, user name and password.
- In the I wish to… menu on the left, click Library.
- On the left hand side, under the search section is the Add an Object menu.
- Click e-Stationery.
- Enter a name for your e-Stationery.
- Enter a description for your e-Stationery
- Choose whether you would like it to be added to Your Library or the Account Library. – This option may be disabled if you are not set for Library management rights.
- You can add a letterhead or item of e-Stationery to various elements of your documents. Click Import for the section where you want your e-Stationery to appear. For example, to add a letterhead to the 1st page of your documents, Import in the section First page of the document and choose your letterhead artwork. If you want the letterhead to appear on all pages of the document click Import in the section titled All pages of the document.
- Validate
Adding a Background to the Library
A background is an image that can also be used as an alternative to a letterhead. They are usually used as a watermark image or page background. You can upload a BMP, GIF, JPG or PNG.
- Go to http://hi-mail.fdmplc.com
- Click on Hi-mail Login in the top menu
- Log in using your account name, user name and password.
- In the I wish to… menu on the left, click Library.
- On the left hand side, under the search section is the Add an Object menu.
- Click Background.
- Enter a name for your background.
- Enter a description for your background.
- Choose whether you would like it to be added to Your Library or the Account Library. – This option may be disabled if you are not set for Library management rights.
- Click Browse and find your background image.
- Click ok.
- Validate
Adding an Attachment to the Library
An attachment is a follow on sheet(s) to your main document. You can upload many types of documents to the attachments section of your library for future use including forms, leaflets, terms & conditions and much more. You can upload PDF attachments only.
- Go to http://hi-mail.fdmplc.com
- Click on Hi-mail Login in the top menu
- Log in using your account name, user name and password.
- In the I wish to… menu on the left, click Library.
- On the left hand side, under the search section is the Add an Object menu.
- Click Attachments.
- Enter a name for your Attachment.
- Enter a description for your Attachment.
- Choose whether you would like it to be added to Your Library or the Account Library. – This option may be disabled if you are not set for Library management rights.
- Click Browse and find your attachment artwork.
- Click ok.
- Validate
Adding a Recipient to the Library
You can use Hi-mail to store the names and addresses of recipients for creating mail merges or sending single documents. If you refer back to Part 7: Configure A Mail Merge you will have more information about recipient mapping and storing data files within Hi-mail.
- Go to http://hi-mail.fdmplc.com
- Click on Hi-mail Login in the top menu
- Log in using your account name, user name and password.
- In the I wish to… menu on the left, click Library.
- On the left hand side, under the search section is the Add an Object menu.
- Click Recipients.
- Enter a name for your Recipient.
- Enter a description for your Recipient.
- Choose whether you would like it to be added to Your Library or the Account Library. – This option may be disabled if you are not set for Library management rights.
- Enter the name, address and contact details for your recipients.
- Validate
